1. Introduction
Purpose: Explain what the app is and who operates it.
Content:
The Thanjavur Corporation Grievance Management Mobile Application (“App”) is provided to enable citizens to report civic and municipal issues to Thanjavur City Municipal Corporation.
This Privacy Policy explains how information submitted through the App is collected, used, stored, protected, and managed when citizens create and track grievances.
By using the App, users acknowledge the practices described in this Privacy Policy.
2. Information We Collect
Purpose: Clearly tell Google Play and users what data the app collects.
For your app, this can include:
- Name
- Mobile number
- Email address, if provided
- Grievance/complaint details
- Photographs uploaded with complaints
- Location/latitude/longitude
- Ward and street information
- Ticket number and ticket history
- IP address, if your server records it
- Technical/device information, if actually collected
Content:
Depending on the features used, the App may collect information including the user’s name, mobile number, email address, grievance details, photographs, location information such as latitude and longitude, ward/street information, ticket details, and other information voluntarily submitted by the user.
The application may also receive limited technical information, such as IP address or device/application information, where necessary for security, troubleshooting, service operation, or audit purposes.
Do not list data that your app does not actually collect.
3. Mobile Number
Purpose: Explain why you need the phone number.
Content:
The mobile number may be collected to identify the complainant, create and manage grievance records, provide ticket-related communication, verify requests where applicable, and assist with communication regarding the submitted grievance.
4. Location Information
Purpose: Your app uses GPS/location for the grievance location.
Content:
The App may request location information, including latitude and longitude, when the user chooses to provide the location of a reported civic issue.
Location information is used to help identify the geographical location of the reported issue, associate the grievance with the appropriate ward or area, and assist the concerned Corporation department in processing the complaint.
The App does not use location information for unrelated purposes.
If your app only obtains location when the user presses a location button, say that specifically.
5. Photos and Images
Purpose: Your ticket creation allows citizens to upload photographs.
Content:
Users may upload photographs as supporting evidence for a grievance. These photographs are used to understand and verify the reported civic issue and assist the concerned Corporation department in processing the grievance.
Users should not upload illegal, abusive, sexually explicit, confidential, or unrelated content.
6. How We Use Information
Purpose: Explain why the Corporation needs the collected information.
Content:
Information submitted through the App may be used to:
- Create and manage grievance tickets.
- Identify and verify the submitted complaint.
- Assign grievances to the appropriate Corporation department.
- Identify the relevant ward or geographical area.
- Review photographs and supporting information.
- Track the progress and status of grievances.
- Communicate with citizens regarding their complaints.
- Investigate duplicate, fraudulent, or inappropriate submissions.
- Maintain administrative and service records.
- Improve the reliability and functionality of the grievance management service.
7. Department and Employee Access
Purpose: Your backend assigns tickets to departments/employees, so explain this.
Content:
Grievance information may be accessed by authorized personnel of Thanjavur City Municipal Corporation and authorized personnel responsible for grievance administration and resolution.
Access is provided only where reasonably necessary to review, assign, investigate, process, monitor, or resolve the submitted grievance.
8. Data Sharing
Purpose: Explain whether information is shared outside the Corporation.
Content:
The information submitted through the App is primarily used for the administration and resolution of municipal grievances.
Information may be disclosed to authorized Corporation personnel, service providers supporting the operation of the application, or government/law-enforcement authorities where required or permitted by applicable law.
We do not sell users’ personal information for advertising or commercial purposes.
Only include the last sentence if that is actually your organization’s practice.
9. Data Security
Purpose: Explain reasonable protection of information.
Content:
We take reasonable technical and organizational measures to protect information submitted through the App against unauthorized access, misuse, alteration, disclosure, or loss.
Access to grievance information is restricted to authorized personnel based on operational requirements.
However, no electronic transmission or storage system can be guaranteed to be completely secure.
10. Data Retention
Purpose: Tell users how long information is retained.
Content:
Grievance information and associated records may be retained for as long as reasonably necessary to process and resolve the grievance, maintain municipal records, comply with applicable legal and administrative requirements, and support service auditing and accountability.
Information that is no longer required may be deleted, anonymized, or securely disposed of in accordance with applicable retention requirements.
If your Corporation has a specific retention period, replace this with the actual period.
11. Data Deletion
This is particularly important if your app allows users to create an account.
Content:
Users may request deletion of eligible personal information associated with their account, subject to applicable legal, regulatory, administrative, and record-retention requirements.
Certain grievance records may need to be retained where required for municipal administration, legal compliance, auditing, fraud prevention, or other legitimate purposes.
If the app does not have accounts, don’t claim that users have an in-app account deletion feature.
12. Children’s Privacy and Safety
Content:
The App is a civic grievance reporting service and is not designed to facilitate social networking, dating, anonymous chat, or communication between users.
We do not permit the App to be used for child exploitation, child sexual abuse, grooming, trafficking, or any other activity that harms or endangers children.
Users must not upload child sexual abuse material or other illegal or exploitative content.
Any suspected child-safety concern may be reported to the designated contact provided in our Child Safety Policy.
13. Third-Party Services
Purpose: Mention external services only if your app actually uses them.
For example, if your app uses Firebase, Google Maps, analytics, crash reporting, etc., list them.
Content:
The App may use third-party services or technology providers necessary to operate certain features, such as hosting, maps/location services, crash reporting, notifications, or other technical services.
Such services may process information according to their respective privacy policies and applicable requirements.
Important: We should identify your actual React Native libraries/services before finalizing this section.
14. Permissions
Explain the major Android permissions.
Content:
The App may request certain device permissions depending on the features used:
Location: Used to identify the location of a reported civic issue.
Camera: Used when the user chooses to capture photographs for a grievance.
Photos/Media: Used when the user chooses to upload supporting photographs.
Permissions are requested only when required for the corresponding functionality.
Again, only mention permissions actually present in your Android manifest.
15. Changes to Privacy Policy
Content:
We may update this Privacy Policy from time to time to reflect changes in the App, applicable laws, regulations, or our data-handling practices.
The updated version will be published on this webpage with the revised effective date.
Users are encouraged to review this page periodically.
